ABOUT THE POSITION

The National Association for the Advancement of Colored People (NAACP), a 501(c)(3) nonprofit organization for human and equal rights, seeks a highly experienced Administrative Coordinator to coordinate administrative support for the Events Planning Department.

SUMMARY OF DUTIES

Under the supervision of the VP, Events Planning, the Administrative Coordinator will perform the following duties:

  1. Plan and execute high level administrative procedures and routines in support of the work in the Events Planning Department, in consultation with the VP, Events Planning, and Manager, Events Planning
  2. Assist with preparation of meetings, state conferences, special events, convention and board meetings.
  3. Research and assist in the development of meeting and training materials
  4. Coordinate and oversee all onsite logistics for procedures and routines in support of meetings procedures and routines in support of meetings, trainings, events, and conferences
  5. Handle telephone inquires from staff and vendors
  6. Maintain appointment calendar and make travel arrangements.
  7. Type material pertinent to the department.
  8. Assume responsibility for all such matters as do not require the attention of the Events Planning Director.
  9. Perform such other job-related duties as may be assigned by the VP, Events Planning

QUALIFICATIONS:

  • Bachelors Degree, or equivalent experience and training preferred.
  • 3-4 years of administrative support experience, and knowledge of office procedures
  • 1 year specialized experience working in meeting or events planning department; or other department requiring project coordination skills with track record of completing project within given timelines;
  • Demonstrate a high degree of individual initiative
  • Attention to detail and ability to work independently while managing multiple projects simultaneously;
  • Ability to handle confidential information
  • Ability to establish priorities and to plan and monitor own work plan
  • Ability to work under pressure of time and urgent deadlines
  • Extensive computer skills and high comfort level with database management and Microsoft Office (including Word, Outlook, Excel, Power Point and Access);
  • Strong communication skills both written and verbal.
  • 50+ wpm typing skills, and demonstrated computer skills (MS Word, Excel, Assess, Power Point preferred).
  • Flexibility to work beyond regular core business hours as need
  • Flexibility to travel as needed
  • Affinity with the NAACP goals and objectivities;
