System #2: Customer Relationship Management

The customer relationship management system refers to the way you take care of your current customers. It may be the way that you process their intake into doing new business with you. It's about how you provide here and service once your clients have already paid or invested in your services. Ultimately the goal is for prospects to become clients and eventually to become raving fans for your business. This happens when you treat current clients or fans very well.

How do you deliver on the promises that you make in your brand. Does it require a lot of manual labor? Can you automate delivery of your services? Can you set up systems with the click of a button that will accept payment and deliver on the promise? If you're conducting a coaching group is there self-service function word new clients can go and access their profiles, pay an invoice, create a support case? This is all part of delivering on your brand promises.
When you have easy tools and systems in place it's much easier for your clients to rave about your services and to refer others to them as well. A great service experience can immediately expand your level of influence and authority.

I am a huge fan of Customer Relationship Management systems (CRM). CRMs were like a dream come true because I was tired of manually tracking loose pieces of paper, sticky notes, e-mails that flooded my inbox from people I worked with. A solid CRM can manage projects, automate your billing, and make it easy for you to find essential correspondence between you and the customer. Examples of great CRMs to research for your business include BaseCamp, Salesforce, Capsule CRM, and WorkEtc.

Another part of the relationship management, however, involves your approach to follow-up. Send Out Cards is a simple but highly distinctive way to show your clients you care. I purchased an account with the company years ago but did not realize the power of the program until I used it to mail personalized postcards to members of a course I was teaching online. It really made an impact with my clients to receive a special thank you from the right at their doorstep.

Trust me, in this age of Internet marketing a postcard or greeting card will help you stand out from the crowd. It will also help to solidify the emotional connection with your customer, which has the potential to generate more sales. Besides, sales are really about creating a personal experience for the buyer.

Business networking is a marketing method by which business opportunities are created through networks of like-minded business people. There are several prominent business networking organizations that create models of networking activity that, when followed, allow the business person to build new business relationship and generate business opportunities at the same time.


Technology makes it easy for us to expand our circle of influence.  However, the most powerful connections are made face to face.

Master these powerful networking skills and you will gain respect and credibility from your colleagues and clients. 

1.  Take a positive and deliberate approach to networking, you will find this extra level of attention makes it easier to establish relationships.

2.  Your business image should reflect your abilities, values, goals, and business mission.

3.  Build brand loyalty one fan group at a time.

4.  Exude energy and passion to command respect and grab attention.

5.  Be honest about what you can do and cannot do.  If something has gone wrong be honest and upfront immediately.

6.  Focus on following up and following through while you’re still at the meeting.

7.  Asking this one questions will increase your bottom line.  “Who is your ideal client/customer, and how can I help you.

8. Remember the name.  We all like to hear our name, but don’t use first names unless you are asked to.

9.  Always defer to the other person.  Don’t monopolize the conversation or talk about yourself too much. Allow the others to have the spotlight.

10.  Using the terms “ma’am and sir”, shows the utmost respect.

11.  Be well informed.

12.  Perfect your “30 second commercial.”

13.  Remain standing as much as possible-you will appear more approachable.

14.  Remain in control even under pressure.

These techniques and tactics will allow you to seize opportunities that otherwise would not be possible.

It all starts with the BRAND

Before we cover these systems, let’s talk about brand first. As a solopreneur in the “entrepreneurial renaissance” age – a coin termed by business coach, Marcia Bench, you will have to compete against many people who claim expertise in the same field as you. In our ancient culture the male and female were both important because they created balance.   Instead of us complaining and directing our anger and frustration towards one another I think it's imperative that we first know we did not just wake up one day and decide to be in the state that we are in....some things happened to us. A vehicle needs a tune up every two years or 30,000 miles, whichever comes first. The key to keeping a vehicle in good working condition is scheduling regular maintenance.  Right?  Well, just as your car needs scheduled care, so does your business.  According to Browder, founder of National Association Women on the Rise, it is vital that entrepreneurs get in the habit of looking “under the hood” regularly.  That means reviewing your operations, marketing and financial processes.  So, are you performing regularly scheduled maintenance for your business?  Here are 3 tips to tune-up your business.

 

Change the oil

Regularly changing your car's engine oil and filter is one of the most important things you can do to keep your car running well.  Consistent maintenance to your business each year is equally important.  Take some time to look at your business processes.  Think about your accomplishments.  Is there room for improvement?  Here are two ideas.

  • Reflect on the successes and failures of your professional and personal life.  Have you considered what changes you would like to implement this year?  As women entrepreneurs, it is important to look for ways to improve work-life balance.  Take some time to reflect on your business' progress and make plans on how you want your business to grow.
  • Reorganize to get rid of clutter.  What have you accumulated this past year that is hindering you from functioning at your optimal best?  Write down all the things that are cluttering your mind, distorting your life’s vision.  Take each of the things on your list and ask yourself the following questions:
  1. Why am I holding on to this clutter?
  2. What purpose does it serve?
  3. How do I rid myself of it?

Clutter can be distracting while adding to the chaos in our lives.    

 

Check engine light

The "check engine" light is part of your vehicle's onboard diagnostics (OBD) system. If a problem in the electronic-control system doesn’t ‘fix’ itself, the computer that controls the OBD turns on a yellow warning indicator that's labeled "check engine.  Ignore the warning and you could damage expensive components. 

 

Just as your engine is vital to your vehicle, your clients are the engine that drives the success in your business.  Do you know who your clients are?  Have you refined your target market (clients) to increase your bottom line?  We all know that the success of your business depends on making sales.  To identify your target client, ask yourself the following questions:

  1. Do you know who your customers will be? 
  2. Do you understand their needs?
  3. Do you know where they are located?
  4. Will you offer the kind of products or services that they will buy?
  5. Will your prices be competitive?
  6. Do you understand how your business compares with your competitors?
  7. Will your business be conveniently located?

By refining your target market, you are ensuring the success of your business! 

 

Balance the tires

Balanced tires are imperative to safe driving. When the tires are out of balance, they place pressure on the bearings, shocks and other parts of the wheel assembly. When your business is out of balance, you can lose current and potential clients which can cause the loss of revenue or worse, your business!

Is your business running smoothly? Re-examine contracts with your suppliers such as telephone service, business and life insurance policies.  Look for ways to cut costs.  Check out your current memberships; local chambers and business and civic associations to make sure you are getting the most for your money.  In addition:

  • Create new revenue streams. 
  • Find innovative ways to promote your business and attract potential clients.

In conclusion, by taking control of your business and keeping it running at peak performance, will increase your chances for success and profitability!

A CRM is a sales and marketing term for "customer relationship management". It's a system to keep track of important information about your clients, customers, sales prospects and a way to centralize your business communications and resources.

I love technology. You may already know that from some of the resources I share. But I really didn't discover the power of a CRM until I started realizing that I had too much paperwork floating around with my client's notes, names of people I needed to follow up with, and even keeping track of any missing payments to my client accounts.

So here are some benefits of using a CRM:

  • Organizes your business records
  • Creates a safeguard of all your key contacts
  • Automates your appointments
  • Helps you develop a "pipeline", which is the path you work each client or prospect through to work with you
  • Gives you an easier way to pay attention to your customers
  • Makes it easy for people to pay you
These are just a few of the things that I've learned a CRM can do for my business. And when you're a solopreneur, it helps to make your workflow as simple as possible.

Fear is a toxin
Our subconscious mind receives messages from our thoughts and actions
and it doesn’t know whether it’s a temporary or insincere thought.
No, our subconscious mind gets to work on whatever we send its way.
So in essence fear is a toxin to the subconscious mind.

 

Fear is not a part of God’s plan and is not from God
In the bible we read that God has not given us a spirit of
fear but He’s given us power, love and a sound mind. So if
God didn’t give it to us then we shouldn’t have it and it
hinders the flow of blessing on our lives.

Your goal should never be to focus on totally being free from fear,
that would be unbalanced, however, you should learn keys and the
necessary mindset shifts needed to empower you to live a life free
from the bondage of fear.

What will you do if you never break free? You don’t have to wait
any longer.

“There is a special place in hell for women who do not help other women.” Madeleine K. Albright

 

We all want to believe that women are all busy connecting, supporting and empowering one another, but reality is that some are not doing their part.  What is causing women to lack compassion or become envious of other women?  Why would you not want to share your knowledge or resources?   

 

In a recent MSNBC interview, Elura Nanos, an attorney and a managing partner of Morange, an educational firm for law students, has seen tons of women, including herself, not helping other women but doesn’t think it’s about being “bitchy.”  Nanos said, “Many women are too busy to help each other. I own a business, work full time, I have two small children, and does charity work hobbies. I have a wonderful husband, but he doesn’t do half the amount of things I do.”

 

Yes, we are all busy wearing many hats, but is it really a good reason not to help others?  Think how you would feel if you needed help and nobody wanted to help you.  By putting yourself in their shoes, allows you to be more apt to find time to help them overcome challenges so that ultimately, everyone can achieve their goals and aspirations. 

 

Last week, two women from my virtual community, felt compelled to call me for advice.  Both gave me permission to share a little of their stories:     

 

·         Lisa (not her real name) works full time at a non-profit agency that provides career training to several rural communities.  In her spare time, she offers coaching services in a virtual setting. In a recent meeting with her immediate supervisor, who is also a business owner, she was surprised to be given an ultimatum; either stop her coaching business or resign from the company!  Mind you, her business model is very different from that of her employer.  So, she contacted me for a listening ear and advice. 

 

·         Diane (not her real name) recently started a human resource firm but struggling with deep personal issues which has caused her to doubt her abilities as a business owner.  She feels unworthy and was recently told by her mentor, a prominent business woman, that she should just give it up until she gets help with her issues and find a real job!  Can you imagine how devastated Diane felt as she shared her story with me?  After talking to her, I found her to be extremely experienced and capable of running a successful business! 

 

I could have easily used my jam packed calendar as a reason not to talk to these ladies, as I am as busy as Nanos is, i.e., employed as a full time director of a non-profit agency; run two virtual businesses, “National Association Women on the Rise” and “Browder Consulting Group;” have a very active family; hold two board positions, an avid motorcyclist and attend church regularly.  But, I didn’t think twice about my schedule when Lisa and Diane contacted me.  In fact, it was my pleasure to schedule an appointment to talk to both.  So, why are some women reluctant to help others? 

 

 

To help, here are 3 ways every woman can make a difference.   

 

Mentor

Successful business women understand the importance of having a mentor.  In fact, developing a portfolio of mentors to meet different aspects of your life, both personally and professionally, is paramount!  By becoming a mentor allows you to visualize someone in your image who you’ve helped to become as successful as you someday!  After talking to Diane, I volunteered to mentor her monthly with weekly emails that includes action steps and affirmations.  In addition, I connected her with one of NAWR’s expert spiritual advisors.  

 

Network

Many of us know the value of networking.  It is less about handing out your business cards and more about paying it forward.  When you are talking to people, think about who would be a good connection for them.  For example, at a recent chamber event I attended, I met a woman who was a writer for a newspaper and currently freelancing technical and ghost writing services.  Immediately, I thought about another business owner who wanted to start a blog but didn’t have time to write articles.  I was able to later connect them.

 

Peer-to-Peer Support

Why not form a peer advisory group?  This group of entrepreneurs could be from diverse industries and get together on a regular basis to share best practices, solve problems and be a source of support for the group.  

I have a dynamic group of peers who serve as expert advisors for NAWR’s members.  We are all supportive of each other.  Having a strong and solid relationship with this group of women makes it easy to give and receive business referrals.

In conclusion, we must strive to make it a part of our personal mission to support and be great role models to others.  When one of us succeeds, we all do!

iStock_000007606415XSmall-150x150.jpg?width=150I had a dream last night. In the dream I invested in some type of postal supplies shop - you know, like the ones you see on every corner now? This guy from an office next door kept coming in to say he was there to help me. Seemed like a nice enough man. At first, he offered to lay a customized floor tile that looked like a stamp for me in front of the counter. He described how it would have my initials, my favorite colors, and it would really light up the place. I was convinced and I said, "sure, that would be nice". Then after he put it in and I realized it wasn't just one tile, it was half the floor. Cha-ching.

Next, he came in and offered to change the locks on my door. I said, "yes, that's probably a good idea". And of course, he upgraded the entire door. Cha-ching...again. After a series of these offers, I realized I'd drawn up quite a bill. That's when I finally sat down to look at the total costs of my initial investment, the add-ons, and the history of success the shop had before me. Guess what? The previous owner sold it because she hadn't made a profit.

It was a pretty dismal outlook. I had the same dream at least once more the same night. It was like I had to go through it all over again, even knowing what the end would be. Then I woke up.

I realized that this was a pretty accurate picture of some decisions I've made before as a business owner. Not researching the so-called investment first, saying yes to everything that looks short-term shiny, looking at the total profit/loss picture only after I've spent all the money...

Notice I didn't say anything about "adding value" or "profit generating" decisions? What investments are you making in yourself and in your business that will add long-term value and generate profit? Got the wake up call yet?

In today’s competitive business world it takes more than expensive clothes and a pleasant personality to be successful; it is also how you present yourself.

Make a wrong remark during a conversation and you could ruin your business and social position within certain social circles.

Ever wonder why you were not invited to an event?

Your conversation etiquette in meeting and social setting, especially those that include important business partners or high profile personalities, could determine if you are invited back or banned from future events.

8 Topics That Will Kill a Conversation: What not to say during a conversation.

  1. Politics-Talking about politics is always a touch subject.  Some people are very passionate about their political views.  If you don’t agree with something that has been said, just acknowledge what has been shared by nodding .
  2. Health-People really do not what to hear about your latest surgery.  Sharing too much bad news can bring the conversation down.
  3. The cost of things-Ever been around someone and all the talked about was how much they paid for their car, house.  Don’t ask and don’t tell.
  4. Personal question-Don’t ask questions such as “How much money do you make?” Or “When do you plan to have children.”
  5. Don’t gossip-When you gossip you destroy your creditability and trust with the group.
  6. Your boss/or job-You never know who knows whom. 
  7. Off-color jokes-I tried to justify this by saying, “If you are with close friends and you all share the same views; however, I cannot.  It is never acceptable to joke about another’s weight, religion, racial heritage, physical limitations, or make any remark that will hurt another person.
  8. Doom and gloom-People hear enough bad news, all one has to do is turn on the TV.  If you want to draw people to you, be happy and optimistic.

So, what can you do to avoid putting your foot in your mouth?

Learn the art of small talk.

   Definition of small talk:  n. polite conversation about matter of little Importance, especially between people who do not know each other well. Encarta World Dictionary.

Small talk is not profound or deep conversation.  Small talk is casual conversation.
Practice these tips to improve your small talk ability:

  • Be well informed-Read the news paper, Keep up with current events, locally, nationally, and internationally. Watch interesting documentaries on TV.
  • Don’t interrupt-Interrupting a person’s conversation is very rude.  People could see you as being argumentative.
  • Focus on the other person-Use the others persons name during the convection.  Pay attention to what they say, the other person will say something you can comment on.  They may share their love for a certain sport, or a movie or book they’ve read. 
  • Maintain eye contact-Eye contact shows you are interested in what the other person is saying.
  • Ask for their advice-Keep the topic light.  You may ask their advice or opinion on a new restaurant, or play.
  • Don’t give advice-Give advice only if the other person asks.  It is best to hold off giving advice on personal matters, even if asked.
  • Think before you speak-There have been more times than I care to admit, when I should have not said one word. 
  • Always apologize if you say the wrong thing, or even is what you have said is misinterpreted.  People will respect you more.

Regularly, I travel to several rural counties in southern Alabama providing business counseling and training to local business owners. In discussing the importance of incorporating social media into their marketing plan, some clients are not sure if it is relevant for their businesses. In fact, a few give me that ‘deer in the headlights’ look when I introduce Twitter as a viable way to increase their client base. By educating them, I help them understand the benefits.

As I explain, Twitter is used by millions of people each day who share, connect, promote and brand their business image. If you, like them are still not convinced, here are 3 reasons why Twitter is important for your business.

Connect
Imagine having a captive audience waiting for your information every minute of the day. By positioning yourself as an industry expert, you can grow a small community of followers who will have a direct connection to you and who recognize your name and business brand! You can also barter, search for independent contractors or find employees. Twitter provides a great platform to connect with the right people to fit your business needs.

In addition, this is great way for existing customers to provide feedback.

One of the things that I’ve encountered while serving my passion of empowering women are these three words “the right time.”

 

How many times have you sighed, “Let me think about it, I need to wait for the right time”, “Not now it’s not the right time”?

 

Did you ever find the right time? Or are you still waiting.

 

Time fulfills it’s purpose daily waiting on no man. Are you fulfilling your purpose

The grave is rich with good intentions. Many I’m sure were waiting for the right time. Some of our greatest songs are in the grave, witty ideas and inventions in the grave, Government officials, Men or Women of God “in the grave!”

 

I’m not trying to be harsh here, however, I’m tired of seeing gifted individuals passing time and refusing to do whatever it takes to manifest their dreams all because you’re waiting for the right time.

 

I see this a lot in my coaching. Some take me up on complimentary sessions, see the value and talk about how others aren’t stepping up to get the training they need only to say at the close of the session that now is not the right time. Of course at times it may not be the right time, however, you must take inventory of the validity of your statement. Is it another form of procrastination? Do you have a fear of the unknown, fear of success or fear of failure?

 

Everyday will bring about a change. The question is what change? A change for the better or for the worse? Will it change by default or will you take charge of your future and change yourself so that you can change your world?

 

Underline, highlight, print in your memory this next statement; “There’s never a right time!”

 

Children are small at home “not the right time.” You now have teens at home “not the right time.” Your son or daughter is in college “not the right time.” Oh my they’re getting married so much to do “not the right time.” I’m going back to school now so… “it’s not the right time.” My parents are aging so…. “it’s not the right time.”

 

 

Life happens and there will always be something else that we are responsible for.

 

How important is it to you to manifest your desired results in your personal growth, business growth, spiritual growth, weight loss, relationships etc.?

 

God’s gift to us is life and what we do with it is our gift back to Him. Now is the time. Right here and right now.
